CHANGES TO SITE VISITOR TRAINING
REQUIREMENTS
We are excited to announce that our site visitor training is being updated and will be provided
through our LINK learning management system (LMS). This will allow for more
asynchronous training that will provide for greater flexibility to accommodate everyone’s
schedules. A live webinar session will follow each session to provide the opportunity to pose
questions or clarify information. Additional information will be forthcoming. The JRCERT
will continue to offer face-to-face workshops and webinars for site visitor training as well.
STANDARDS INTERPRETATION UPDATE
At the October 2023 Board Meeting, the JRCERT Board of Directors adopted a Standards
Interpretation of Objective 1.1 in all modalities. Programs are advised that if they offer
courses via Distance Education, any additional and/or applicable fees for these courses must
be published on the program’s or sponsoring institution’s website and be accessible to
student, faculty, staff, and the public. The Interpretation can be accessed here.
SITE VISIT MODIFICATIONS
Due to the pandemic, the JRCERT realizes that many clinical facilities have experienced
limited staffing. Due to the work shortages, at times it is difficult for clinical preceptors to
travel to the sponsoring institution for interview sessions. The JRCERT finds it acceptable to
perform virtual interviews for these individuals. JRCERT Policy 11.600, Policy Statement
11.610 permits hybrid site visits due to catastrophic events; however, the appropriateness of
utilizing a hybrid site visit must be preapproved by JRCERT Executive Staff.
RENTAL CARS
Rental cars not provided by the program must be approved by the JRCERT. The site visitors
will be responsible for pre-payment of the vehicle. The JRCERT will reimburse upon
submission of the site visitor expense voucher and receipt.
REIMBURSEMENT
As a reminder, detailed receipts for all expenses claimed must be submitted with the expense
voucher within 14 days of the site visit. Please email the voucher and copies of all receipts to
mail@jrcert.org.
Reimbursements are made electronically, with payments deposited directly into a bank
account. All site visitors are required to create a secure and at no-cost Bill.com account. If you
have not had the opportunity to set up an account, a step-by-step guide will be provided to
you following your next site visit assignment.
Airfare cost is limited to round trip coach rate. Site visitors are expected to select the lowest
practical airfare in consideration of program budget impact. Upgrades and date deviations are
subject to approval by the JRCERT. Travel by personal auto is reimbursed up to the
equivalent of the lowest practical round trip coach airfare. Lodging and meal reimbursement
during travel by personal auto may not be approved.
SHARED CLINICAL SETTINGS
Regardless of the number of programs utilizing a clinical facility, programs must always
assure that there are adequate human and physical resources to support the number of
students assigned.
